This Privacy Policy explains how Liyobot (“we”, “us”) collects, uses, and protects information when you use our website and service (the “Service”). It covers both our customers (people who create chatbots) and visitors who chat with a Liyobot-powered chatbot.
Information we collect
- Account information — your name, email address, organisation name, and password (stored hashed) when you sign up.
- Chatbot content — the documents, website content, settings, and instructions you provide to train and configure your chatbots.
- Conversation data — messages exchanged with your chatbots, and any details a visitor provides in a pre-chat form (such as name or email) or feedback they leave.
- Usage and technical data — basic logs such as IP address, browser type, and timestamps, used for security, rate limiting, and operating the Service.
- Billing data — handled by our payment provider; we receive limited details such as your subscription status, not full card numbers.
How we use information
- To provide, operate, and improve the Service, including generating chatbot responses.
- To authenticate you, secure the Service, and prevent abuse.
- To process payments and manage subscriptions.
- To communicate with you about your account, security, and service updates.
- To send transcript or notification emails where you or a visitor request them.
Who we share it with
We do not sell your personal information. We share it only with service providers who help us run Liyobot, under appropriate safeguards, including:
- Cloud hosting and database providers.
- An AI provider that generates chatbot responses from the content and messages you send.
- An email provider for transactional and transcript emails.
- A payment provider that processes subscriptions as merchant of record.
We may also disclose information where required by law or to protect our rights and users.
Visitor data and our customers
When someone chats with a chatbot you created, you (the customer) are responsible for that conversation data as its controller, and we process it on your behalf. If you are a visitor and want your data removed, please contact the business whose chatbot you used.
Data retention
We keep account and conversation data for as long as your account is active or as needed to provide the Service, and then delete or anonymise it within a reasonable period, unless a longer period is required by law.
Security
We use appropriate technical and organisational measures to protect your data, including tenant isolation, encryption in transit, access controls, and activity logging. No method of transmission or storage is completely secure, but we work to protect your information.
Your rights

International transfers
Your information may be processed in countries other than your own. Where required, we take steps to ensure appropriate protection for such transfers.
Children
The Service is not directed to anyone under 18, and we do not knowingly collect their data. This matches the minimum age for holding an account under our Terms of Service.
